CELAB Reading Group Food Instructions
So you've [been] volunteered to provide food for CELAB lunch:
- You are tasked with deciding from which restaurant to order,
choosing the food, ordering the food, and bringing it to the
CELAB reading group meeting for the reading group members to eat
while participating in the paper discussion. Just have the
food delivered to BBB (2260 Hayward St.), or pick it up yourself,
and bring it to the meeting.
- There are numerous places in town that will deliver food. Websites
like EatBlue, for instance,
have entire sections dedicated to restaurants that deliver. Also,
see below (in the "As for the food" section) for some ideas of what
kinds of food to order.
- Participating faculty members cover the costs of the food. Once you
order the food, Steve Reger, Jamie Goldsmith and Yolonda Coleman at
CSE Purchasing Team in 4808 BBB will help pay for
the order. Please take the following steps while placing the order:
- Place the order
- A. If you plan to order from one of the U of M contract food suppliers (listed below),
you need to place the order with shortcode. You can get the shortcode by emailing
CSE Purchasing Team
and specify the faculty member sponsoring the lunch this week.
- B. For other food suppliers, call the restaurant and place your order. Placing your order
one day prior to your lunch is recommended. Let the restaurant
know you are calling from the University of Michigan and
someone will be calling them with the payment information
within 24 hours. Please mention that the order is
tax exempt.
Once the order has been placed, email CSE Purchasing Team
with the following information:
- (a) Faculty Member sponsoring the lunch.
- (b) Shortcode: (Leave this blank or ask CSE purchasing team in advance)
- (c) Restaurant name
- (d) Restaurant phone number
- (e) Your order (this will help the purchaser confirm
your order and make sure it is correct)
- Get itemized receipts for the food (and anything else).
- While collecting the order, please make sure that the tip combined is no more than $10.
- Get a sign-in sheet from 4644 BBB in the folder labelled
"Hosting forms". (Speak to the purchasing team if this is
empty). Pass the form around at the reading group meeting and
try to make sure everyone has signed in. After the meeting,
give this and the itemized receipts and the agenda(time, location, presenter name & paper title) to the purchasing team.
Organizational:
- Plan for about 20-30 people for winter 2022 (depending on recent turnouts - ask
around)(Try to keep your order under $500 including delivery fee and tips)
(Sample orders below are for meetings with around 40-45 people. Scale your order accordingly or ask the restaurant).
- Please don't order individual drinks (e.g. 12 oz. cans) for
delivery to the reading group; these end up costing a large
amount of money. If the restaurant won't deliver 2 liters, then
everbody will be responsible for their own drinks or you as the
food provider can pay for the cost of drinks out of your own
pocket. Please do not purchase drinks on a separate bill, the
cost of processing reimbursements for such small amounts is
prohibitive.
- Try to keep the total cost of everything (food, drink, utensils,
etc.) below $20 per person. If you want to spend more for
a specific kind of food, speak with the professor who's footing
the bill - they have the final say.
As for the food:
- Some of our number do not eat meat. Please remember to
have some option for those folks. (example: if you're getting
pizza, get some with just veggies or cheese).
- Some of our number are squeemish midwesterners. If possible,
please try to have some kind of fairly bland option available
for those who aren't too keen on the very different stuff.
(example: I think we discovered that sushi didn't go over well
with a few folks).
- Provide a variety of drinks (usually sodas) if you can. A
distribution of: 2 cola, 1 diet, and 2 others (Mt. Dew, Root
Beer, etc) works well.
- Bring the food to the meeting room (on the webpage) at 12:00.
